Pay: Salary ($45,000 – $65,000)

Job Summary:

Full-time legal assistant for the law firm’s growing litigation practice, cooperating closely with staff litigation attorneys and paralegals in administering/facilitating day-to-day business and legal operations. A successful legal assistant enhances attorney effectiveness by developing case information, evidence, and settlement options, tracking cases, and supporting attorneys’ trial proceedings.

Duties/Responsibilities:

  • Attorney Support
    • Keeps Cases Organized by:
      • Establishing and organizing files.
      • Monitoring calendars.
      • Meeting deadlines.
      • Documenting actions.
      • Inputting information into case management database software.
      • Performs basic filing and record keeping
    • Helps Develop Cases by:
      • Maintaining contact with people involved in the case.
      • Scheduling depositions.
      • Preparing and forwarding summonses and subpoenas.
      • Drafting and Filing complaints.
      • Filing claims
      • Obtaining client documents.
      • Preparing witnesses and medical matrices.
      • Preparing responses to opposing counsel.
      • Generating status reports.
    • Keeps Clients Informed by:
      • Maintaining contact.
      • Communicating case progress.
    • Supports Case Preparation by:
      • Preparing case summaries and materials for conferences and court appearances.
      • Preparing pleadings.
      • Monitoring and obtaining client documents.
      • Organizing materials for team case review.
      • Monitoring case deadlines and keeping cases on track.
    • Enhances Trial Proceedings by:
      • Organizing evidence.
      • Preparing exhibits.
      • Scheduling witnesses.
      • Ensuring that witnesses are ready when needed.
  • Complete Administrative Duties including, but not limited to:
    • Making copies
    • Answering and directing phone calls
    • Greeting clients
    • Coordinating appointments including all correspondence and logistics necessary
    • Manage legal documentation and correspondence in strict confidence.
    • Assist with accounting and billing.
    • Implement and improve administrative processes for more efficient workflow.
    • Manage records retention, including information storage and retrieval, if necessary.
    • Manage all printed reference materials and subscriptions, if necessary.
  • Writing
    • Draft documents and letters using proper templates.
    • Correspond with counsel, courts, and clients.
  • Business Development
    • Maintain excellent relationships with clients, vendors, and coworkers.
  • Updates job knowledge by participating in educational opportunities and reading professional publications.
  • Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Performs other related duties as assigned.

Required Qualifications

  • Computer skills with some or all of the following software including, but not limited to, MS 365, Google Workspace, Westlaw, and Case Management System
  • Familiar with legal terminology.
  • Fluent in English, both written and verbal.
  • Bilingual, Spoken Spanish fluency (Preferred)
  • A strong desire to expand one’s scope of knowledge and professional competencies.

Education and Experience

  • Two-year college degree or equivalent certification preferred.
  • Some law firm or legal experience

Physical Requirements

  • Ability to sit at desk and work on a computer for prolonged periods.
  • Must be able to lift up to 15 pounds at times.
